Terms and Conditions

1. The price of your holiday includes gas and electric but it doesn't include passes.

2. The security bond of £50 is required to reserve your break and it is held until the home has been checked for damages and cleanliness. If any damages are found or excessive cleaning is required, which includes carpet cleaning due to stains or mud the bond will be used to offset the costs.

3. We are unable to accept bookings from groups under 21 years of age - these are Haven rules.

4. Haven is a family park and anyone whose conduct seems unreasonable will be asked to leave by security with no refund given.

5. In order for the caravan to be cleaned and checked, departure from the caravan is before 10am. Keys must be returned to the key safe from where they were taken from. Failure to do so will result in the loss of the bond to replace the keys. 

6. Keys will not be available before 3pm on the date of arrival.  

7. The lodge /retreat  must be left in a clean and tidy condition. The lead guest is responsible for all members of the party and must make good any loses (including mattress and pillow protectors) or breakages on a like for like basis. If any damages are found on arrival please let us know immediately, if we do not hear from you we will presume everything is okay. Any damage done to the homes or it's contents during your stay will be repaired by the use of the security bond as stated in clause 2.  

8. No pets, e. cigarettes or smoking are permitted anywhere in the lodges or retreats , any indications of either having been in the caravan the deposit will be forfeited for the extra cleaning costs

9. No electric car charging is allowed from the homes , this is also a Haven policy. Any signs of excessive electric usage due to electric car charging will result in the bond being retained to pay for the electric usage.  

10. Some Haven facilities/entertainment may not be in operation during your stay. This is out of our control and therefore we cannot be held responsible.

11. The bond will be refunded by post or paypal after all checks have been carried out. The bond will be dispatched  asap or within 14 working days of your departure.

​12. Full payment for the holiday must be paid 6/8 weeks prior to your holiday start date. Should you book your holiday less than 6 weeks to your start date then the full amount is payable. 

 

13. Holidays cannot be resold onto a third party and only individuals named on the booking form can stay in the homes . Any breach of this will invalidate your booking and all parties will be asked to leave with no refund.  

 

14. If bedding is not purchased please remember to take your own as the lead guest will be held responsible for any stains, including make up stains found on pillows, pillow protectors, quilts and mattress protectors. The cost of any excessive cleaning or replacement of such items will be deducted from the £50 bond. 

 

Cancellation Charges

6 - 8 weeks before the start date will incur the loss of the bond

5 - 6 weeks before the start date will incur a 25% loss of the total cost of holiday

4 - 5 weeks before the start date will incur a 50% loss of the total cost of the holiday

2 - 4 weeks before the start date will incur a 75% loss of the total cost of the holiday

0 - 2 weeks before the start date will incur a 100% loss of the total cost of the holiday

BY MAKING A BOOKING WITH US AND PAYING THE DEPOSIT YOU ARE AGREEING TO OUR TERMS AND CONDITIONS,BY ANY MEANS  INTERNET BASED ELECTRONICALY , POSTAL OR TELEPHONE /MOBILE DEVICE .

TERMS AND CONDITIONS  will be sent on receipt of deposit. [ALL INFORMATION REQUESTED must be , MESSAGED ,POSTED OR emailed back],  or  THE holiday will  BE CANCELED AND DEPOSIT USED  AS  SERVICE CHARGE FOR ADMINISTRATION COSTS .                                                                                                                                                                                         

PLEASE READ THESE THOROUGHLY.

WE RESERVE THE RIGHT TO CALL AND CHECK YOUR HOLIDY VENUE

We do NOT accept Pets in our holiday home BUT DUE TO ANY REASON  A PET IS ON SITE OR IN THE LODGE   please be aware that it is unacceptable to allow pets on the Seating and Beds, we also request that any Pets are not left alone roaming the lodge  whilst you make arrangments to remove them , do NOT allow pets to be left alone even if  in a  secured  pet cage. SHOULD A PET BE IN THE LODGE PLEASE stop pets Barking/ clawing at the curtains  of the  the lodge  windows and causing disturbances for other holiday makers UNTILL THEY ARE REMOVED .!

 Arrival Time is strictly between 2pm and 7pm on your first day of occupancy, Departure time on the last day of occupancy is no later than 10am.

 Once the booking form has been sent, confirmed and deposit received any changes to the number of guests or any booking information updates will be charged at £20 per Update.

YOU MUST NOT TRY TO SELL YOUR HOLIDAY TO SOMEONE ELSE
Only those named on the booking form will be allowed in the caravan.
This means that if you have to cancel you cannot sell the holiday to someone else. They may sue you when they are now allowed into the LODGE

 DO NOT ARRIVE BEFORE 2:00 PM (14:00), unless agreed in advance
You will either be denied access, fined or evicted. The arrival time is there to allow for cleaning and to ensure everything is ready for your stay.
Please check the LODGE when you arrive. If you find anything wrong please contact the owner immediately. This will protect you if things are found after you leave that you knew about.
If anything is damaged during your stay please contact the owner immediately so that they can arrange repair before the next guests

DO NOT LEAVE LATER THAN 10:00 AM, unless agreed in advanceCool
You will be fined if you leave late as access is required by cleaners.

You have a responsibility to leave the caravan as you first find it.
Prior to your stay the LODGE has been thoroughly cleaned. Please check the caravan when you arrive and report any issues immediately.
Prior to leaving the LODGE please ensure that all kitchen equipment is clean and back in place, that all kitchen surfaces and LODGE tables have been wiped clean, bins have been emptied as instructed, the floors have been hovered and left clear of mess.
The LODGE should be left in the state you left it so that the cleaners don’t have to spend extra time and delay the next guests.
Failure to keep the lodge  clean and tidy will result in the loss of your deposit.
Do not steal any property from the LODGE  or you will be charged and may face prosecution.
All doors and windows must be closed when you leave the caravan. Failure to do this risks the security of the LODGE  and the deposit may be withheld.

The owners/cleaners will take photographs of any mess or damage they find.in or outside the LODGE

 The Hirer is responsible for the conduct of his/her guests and family and shall take steps to ensure that their behaviour does not cause a nuisance, inconvenience or disturbance to other occupiers or cause damage to property belonging to the Proprietor or such other occupiers.Cool

 
The Hirer agrees to indemnify the Proprietor in respect of any damage caused to the Proprietor's property or to the property of third parties and against personal injury caused by the Hirer or members of the Hirer’s party.

The Hirer’s vehicle is parked entirely at his/her risk and the Proprietor is under no liability whatsoever in respect of any damage caused by or to the vehicle from whatever cause or for the loss or damage to articles left therein.

The Hirer will not permit or suffer anything to be done which would endanger any policies of insurance which the Proprietor has effected in respect of its business as caravan park proprietor.

 All refuse or litter is to be deposited in the refuse bins provided and the area surrounding the lodge is to be kept in a clean and tidy condition, Please ensure when departing the LODGE that it is left in a "Clean and Tidy State" surfaces wiped, carpets and floor cleaned and any kitchenware used is to be cleaned.

 
The Hirer must give notification of any damage to us as soon as possible.Cool

 
No commercial vehicles will be allowed on the park.
 Please ensure that if you smoke any form of tabbaco, that this is done outside and all waste is placed in Bins.

 If for any reason the holiday is cancelled, refunds will only be made if the caravan is re-let on your dates. There is an administration charge of 20 % of the holiday cost and the  Deposit will not be refunded. The hirer may wish to consider buying cancellation insurance (not available from the proprietor).

 Bookings cannot be accepted from single sex parties, or parties of under 21’s, couples under 21 are acceptedCool

‘Cleaning & Damage’ Bond is required  in addition to the Holiday costs, If the lodge  is found to be in reasonable condition after your departure a full refund of the Bond will be issued. Full Balance including the Bond is to be Paid 6 weeks before arrival.

 We do supply pillows and quilts but we do not supply the following items, Bath Towels  Quilt covers, Sheets and pillow cases can be provided by ourselves at a small cost of £20 PER BED ROOM  Please specify at the time of booking, if you would prefer not to take this service, please ensure you take your own bedding items as bedding must be used! this is a condition on your Cleaning and Damage bond.Cool

If the Proprietor is unable to supply a specific holiday  home for hire, he reserves the right to supply another model at a similar or higher specification to the Hirer.

 The Proprietor will not be liable to the Hirer nor his/her guests or any dependants for any injury or loss or damage to any property howsoever caused.

 In the event of any breach of these terms and conditions by the Hirer the Proprietor shall be entitled to give the Hirer and his/her guests and/or family immediate notice to vacate the LODGE and leave the park, and to charge any expenses incurred in do

 

BOOKINGS CAN ONLY BE TAKEN FROM ONE PERSON ON BEHALF OF THE CoolWHOLE FAMILY OR GROUP, THAT PERSON BEING A RESPONSIBLE ADULT OVER THE AGE OF 21 YEARS.

WE ASK FOR A BOND / HOUSEKEEPING /RESERVATION DEPOSIT (NON REFUNDABLE) TO BE PAID ON BOOKING IN ORDER TO GUARANTEE YOUR DATES.

 

FULL BALANCE TO BE PAID SIX WEEKS BEFORE THE HOLIDAY START DATE.

IF THE BALANCE ISN’T PAID AT THAT POINT THEN WE RESERVE THE RIGHT TO SELL THE WEEK BOOKED TO ANOTHER PARTY WITH NO REFUND OF YOUR DEPOSIT.Cool

 

YOUR DEPOSIT / HOUSEKEEPING BOND /DAMAGE SECURITY DEPOSIT WILL BE REFUNDED TO YOU WITHIN  two WEEK OF CHECKING OUR HOLIDAY HOME AND  IF NO DAMAGES OR LOSSES FOUND. WE RESERVE THE RIGHT TO CHARGE YOU FOR ANY SPECIALIST CLEANING OR REPAIRS TO DAMAGE INCURED DURING YOUR STAY.

OUR CANCELLATION POLICY

You can cancel your holiday booking with us at any time up to six weeks  before the start date but you will, however, forfeit your reservation deposit.

For cancellation after  six weeks or less, for whatever reason, we regret that we are unable to refund any monies that you may have paid to us.

Currently Caravan Fraud is very high this is due to how easy it is to encourage someone to book a holiday.
We are the sole owners of this caravan and bookings are only made directly by us as we dont hire our caravan out by any other means including Haven or other hiring companies.
We can not and will not be held accountable for anyone who loses money as a result of paying someone who claims to be the owner of our caravan or who uses photos of our van. We strongly encourage you to verify an owner by asking for the pitch and van type and calling the site to confirm that, that make of van is situated on that pitch. Haven will not confirm owners names or pitches due to data protection, which unfortunately makes verifying owners difficult. Also ensure when 'paying' for your holiday you do this via a traceable method i.e. bank transfer or cheque. It is strongy recommended not to send cash through the post. Ask for contact details including the address.
Lastly if the price of the holiday and what they are offering sounds too good to be true, the chances are it is. Protect yourselves and be smart.

  • DO NOT FEED THE GULLS or other birds on the site
    Feeding birds can be dangerous and creates extra mess on the site which may be poisonous.

 

  • DO NOT WEAR STILETTO HEELS on any areas of soft lino as this will damage it and you will be charged for the replacement costs

 

  • BANNED PRODUCTS:

²  LOOM BANDS and similar mass packaged small items

²  PLASTICINE and other clay type products

²  BB GUNS and other weapon type items that could cause damage or injury

 

  • PRODUCTS WHICH MUCH BE SUPERVISED:

²  FELT TIP PENS & PAINTS - these MUST NOT be used unless there is adult supervision to ensure that there is no damage to the caravan

 

  • PROMOTIONAL PRODUCTS (e.g. Mugs, Coasters, Cushions):

DO NOT REMOVE ANY PROMOTIONAL PRODUCTS
The caravan you are staying in may contain Mugs, Coasters or other products which advertise the Caravan or Caravan Group. You MUST NOT remove any of these or the full replacement cost will be deducted from your security deposit.

If you wish to purchase any items you MUST contact the owner and place an order with them. The owner will advise you of the charge, which may be offered at a discounted rate, lower than the fine payable if you take property from the caravan.

Please allow two weeks for delivery of promotional products.

 

  • YOU WILL BE EVICTED, WITHOUT COMPENSATION IF:

²  You have extra guests staying that have not been pre-registered.

²  You cause any nuisance to others, such as loud music or shouting.

²  Anyone is found to be smoking in the caravan.

²  You breach any of the rules of the caravan site.

OR breach any of the other conditions listed below:

 

 

 

Damage to the caravan or its contents, or the requirement of additional cleaning due excess mess WILL result in loss of full or partial deposit and may result in small claims court action to recover additional charges and replacement costs.

Full Details

When signing the booking form or paying the full deposit you are confirming that you, the nominated hirer, agree to be bound by all of the following Terms & Conditions, with all other parties concerned

  1. The Caravan Owner

    1. The agreement is made on the understanding that the Caravan Owner will remain responsible for providing the advertised service. They will be liable to compensate the guests in the event of any failing on their behalf, that was not outside their control, in accordance with the terms detailed below.

    2. The owner will ensure that the full holiday cost, including deposit is retained in an account should they be required to provide a full refund.

  2. The Booking Agent

    1. If a booking agent is used, they will be responsible for taking and confirming the booking and potentially accepting and transferring funds, subject to their agreed fees. They hold no responsibility unless due to their own failings. The agent may withdraw their services at any time, for whatever reason. The booking will not be affected by such a withdrawal.

  3. The Guests

    1. The nominated group leader will be subject to fines in the event of misconduct by any of the group members that is not satisfactorily resolved, as detailed below.

    2. The nominated group leader accepts full responsibility and liability for the conduct of all guests should they breach any of the rules. It is their responsibility to ensure that all the guests are aware of the full details of these terms and conditions.

    3. No extra guests are allowed to stay overnight in the caravan, without written permission, from the owner. You may have visitors during the day only.

    4. The holiday must not be sold on to someone else. Any changes must be approved by the owner.

    5. Children under the age of 16 must not be left unattended.

  4. Booking Restrictions

    1. Bookings will only be accepted if the hirer is at least 25 years old

      An electoral roll search may be carried out by the owner or agent to confirm identity

    2. NO Same sex groups - e.g. Stag and Hen parties.

      Family and Friends same sex groups may be accepted on request.

    3. NO Pets of any kind, unless agreed at the time of booking

    4. The maximum number of allowed guests may be lower than the maximum berth of the caravan. This is in order to improve the comfort of the guests and reduce wear on foldaway beds. Limits may also be added if a cot is used/required.

    5. Only guests named on the booking form will be allowed in the caravan.

      Spot checks may be carried out and any time during the holiday. Unauthorised guests will be evicted and the remaining guests may also be evicted and forfeit the remainder of their stay, without compensation.

  5. Bookings

    1. The deposit must be paid within 7 days to confirm booking.
      Cheques will not be considered cleared funds until 6 working days after they have been banked.

      Dates will be released after thisperiod, without further warning

    2. Provisional bookings will not be accepted under any circumstances

    3. Full Names and Ages of all persons staying in the caravan are required at time of booking

    4. Full rental charge is due 4 weeks before holiday, otherwise the booking will be cancelled and the deposit not refunded

    5. If booking via an agent the agreement is still made between the Guest and Caravan Owner.

      The booking agent will not be liable for any failings that are not their own wrong doing.

  6. Deposit

    1. The deposit must be paid in full to secure booking, this is in addition to the Rental Charge

    2. The actual deposit charge may vary depending on the season and holiday cost

    3. In the event of cancellation the deposit will not be refunded under any circumstances,

      unless cancelled by the caravan owner due to their inability to honour the booking.

    4. Deposit will be returned within 14 days after the caravan has been checked, unless, there has been a breach of any of the conditions by any of the guests.

      Such as, but not limited to including:

      1. Section C - additional guests staying overnight

      2. Section D - breaching booking restrictions

      3. Section I - damage to, or theft of, contents, breach of security, etc

      4. Section J - improper use of equipment

      5. Section K - unreasonable behaviour

      6. Section L - leaving after the agreed departure time

      7. Section N - damage to the caravan or its contents

      8. Section S - you have been evicted from the caravan for any reason

    5. Part deposits will not secure dates and will not be returned

    6. There will be a deduction of any delivery charges to return items that have been left behind

  7. Rental Charge

    1. This is in addition to the the deposit and must be paid no later than 4 weeks before the holiday. Payment will be required in full if booking less that 4 weeks before start of holiday

    2. In the event that the holiday is not paid for in full 4 weeks before the holiday will be cancelled and the dates released for re-sale.

    3. Instalment options may be offered by the owner, however the full total must be paid on time

    4. Payments will not be accepted on the day of arrival under any circumstances.

  8. Accepted Payment Methods

    1. Cash, Cheque, Bank Transfer, PayPal

      Specific details will be provided upon request.

      Always include your Surname or Reference when making payments.

  9. Cancellation

    1. The booking will be cancelled if:

      1. the Full Deposit is not received within 7 days of booking

      2. the Rental Charge is not received within 4 weeks of the start of the holiday

    2. The deposit will not be refunded under any circumstances unless the caravan owner is unable to provide the caravan for the required period and is unable to provide and alternative date.

    3. If cancelled by you before the holiday the full cost will be lost, including the deposit.
      A partial refund may be offered if the holiday is resold at the discretion of the owner

  10. Arrival and Departure

    1. You MUST NOT arrive before the time stated by the caravan owner.

      You will be denied access to the caravan if you arrive early.

    2. You MUST be out of the caravan before the check out time stated by the caravan owner.

      Your deposit may be used to compensate the next guests if you leave late.

    3. Keys will be available as advised by the caravan owner.

      You be liable for the costs of replacing the Locks and all Key Sets if the keys are lost

    4. The caravan owner will not be responsible if you cut your holiday short, unless caused by problems with the caravan that the owner has not been able to rectify.

  11. The Condition and Contents of the Caravan

    1. NO Smoking at any time, of any kind inside the caravan.

    2. Use of drugs is forbidden.

    3. NO Property of any kind is to be removed from the caravan.

    4. If pets have been allowed into the caravan then all areas must be kept clean.

    5. Safety equipment, such as Smoke Alarms or Fire Extinguishers must not be tampered               with, including removal of batteries from smoke alarms.

    6. Naked flame products, such as Candles and Barbecues, must not be used in the caravan.

    7. All rooms must be left in the same clean, tidy condition as they were found in.

    8. You are responsible for the security of the caravan during your booking.

      All Windows and Doors must be locked securely when you are not in the caravan.

      Breach of any of these rules will result in eviction from the site, loss of deposit and further legal action if necessary.

       

  12. Use of Equipment in the Caravan

    1. You are agreeing to the safe use of all equipment in the caravan

    2. The holiday is self-catering so you will need to provide all your own food

      It is at the discretion of the owner whether a welcome pack is provided.

    3. All utilities (Gas, Water & Electricity) are included in the overall cost, on a fair-use basis

      In the event of excessive use, such as leaving heating on all the time, without the owner’s prior consent, you may be charged an excess to cover the additional charges incurred by the owner for additional gas bottles, site reset fees, etc.

    4. If you are unsure how to use any of the equipment provided then contact the owner immediately. Do not attempt to use anything that you are unsure about.

    5. The caravan owner will not be considered liable for any injury caused by improper use of any equipment

    6. Faulty equipment must be reported immediately. You must not use any equipment you do not consider to be in a perfect condition

    7. Any claims of injury must be reported immediately

    8. Claims will be thoroughly investigated and prosecution may be sought in the event of fraudulent claims

    9. Items such as bicycles may be available at the discretion of the caravan owner.
      Use of such items is as your own risk and you will be expected to provided your own safety equipment.

  13. Behaviour

    1. You have a duty of care towards other site guests and as such must not cause nuisance either verbally or by excessive music, etc.

    2. Whilst alcohol is permitted, it is expected that all guests conduct themselves in a proper manner at all times and remain civil towards the other guests and other site users.

    3. Children must be kept under control at all times. This includes whilst in the caravan or whilst using and services provided by the caravan site.

    4. In the event that dogs have been allowed, they must be kept on a lead at all times, whilst on the caravan site. They must not cause distress to any other persons on the site.

      Breach of any of these rules will result in eviction from the site, loss of deposit and further legal action if necessary.

  14. Vehicles

    1. You leave your vehicle and contents on site at your own risk. Neither the caravan owner, nor the caravan site, will accept responsibility for damage or loss, unless by their negligence.

    2. The caravan site speed limit must be respected at all times

    3. All drivers must hold a Valid Driving Licence, Insurance, MOT and Road Tax

    4. Electric/Hybrid vehicles MUST NOT be charged from the Caravan, as this is excessive use of electricity and you will be fined.

       

  15. Damage to/Loss of Property (The Caravan and/or it's contents):

    1. Please report any accidents, losses or damages caused by you or your party as soon as possible to enable us to respond to the circumstances. Smaller items may be replaced by yourselves if you wish, but the item(s) must be ‘like for like’ or part or all your deposit may be kept to cover, or contribute to replacement costs.

    2. Where the damage exceeds the deposit then necessary action will be taken to seek full compensation, which may included additional charges

    3. In the event that you are not happy with the response from the owner then you must seek legal advice, as this will protect the rights of both you and the caravan owner.

  16. Problems with your accommodation

    1. You must report any problems immediately, to the caravan owner, sending photos when possible.

    2. You must give the caravan owner a fair and reasonable opportunity to rectify problems or offer suitable compensation.

    3. In the event that you are not happy with the response from the owner then you must seek legal advice, as this will protect the rights of both you and the caravan owner.

    4. You must not make comments, or post photographs or videos in any public domain, such as Facebook or Twitter, as any such action could be considered defamatory and leave you at risk of prosecution. Even posting on your own private pages is not recommended as anyone can copy and share without your permission.

  17. Public Liability Insurance

    1. Names and Ages of all persons staying in the caravan are required to validate insurance

    2. Only named persons may stay in the caravan otherwise any insurance claims will be invalid

    3. Changes to approved guests may be made at the discretion of the caravan owner

    4. Non-approved guests will be denied access to the caravan or if they have been given access all guests will be asked to vacate the caravan immediately

  18. Private Insurance

    1. The owner’s Public Liability Insurance only gives very limited protection.

    2. Your home insurance may cover you and your belongings whilst you are on holiday.It is unlikely to cover: Accidents, Medical Expenses or Losses due to delays or cancellation.

    3. We strongly recommend that you take out Holiday Insurance to cover these exemptions. These policies are available quite cheaply from most insurance brokers.

  19. Eviction from the Caravan

    1. You will be evicted from the Caravan, by the caravan owner or caravan site management, and your deposit will not be refunded in the event of, but not limited to:

      1. Unreasonable behaviour by any of the guests

      2. Additional, unregistered guests being found in the caravan

      3. Smoking in or damage to the caravan or any of its contents

      4. Pets being taken into the Caravan

         

  20. The Caravan Site

    1. The caravan owner is not responsible for any of the services and facilities provided by the caravan site.

    2. The site owners may vary services and facilities at short notice.

    3. You should visit the website for full site details and their complaints procedures if you have any problems with anything they offer or fail to provide.

      This includes site wide power loss, closure of entertainment areas, etc

    4. You are also bound by the rules of the caravan site. These can be obtained from their website or from Reception upon arrival.

    5. Breaching the Site Rules may result in eviction from the site and termination of your holiday

    6. The caravan owner will not be liable to compensate you in the event of any dispute with the site, unless it has been caused by the action of the caravan owner.

    7. Any passes purchased remain the property of the site owners, not the caravan owner.
      Conditions of use of the passes may be changed at any time.

  21. Disputes and Harassment

    1. In the event of disputes then a third party may be consulted in order to resolve matters

    2. Repeated/abusive telephone calls, text messages, written correspondence or other contact will not be tolerated

    3. By agreeing to these terms you will not threaten legal action in the event that the deposit is not returned due to any breach of these rules. Any such action will be considered harassment

    4. You will be liable for any additional costs incurred as a result of any breach of these rules

  22. Blacklisting

    1. In the event of non-payment, late departure, damage or breach of any conditions then future bookings may be rejected by us and other caravan owners.

  23. Dispute Resolution Service

  1. In the event of a dispute that you do not believe can be resolved with direct communication between the owner and the person booking the holiday then http://drs.mycaravan.biz/ will provide a mediation service. Send all the details by email to drs@mycaravan.biz and they will try to mediate a swift, amicable resolution. There will be no fee for the initial service. In the event that any fee will become chargeable you will be advised in advance, prior to any chargeable work being carried out.

  2. The owner may involve http://drs.mycaravan.biz/ at any time if they believe that there is any breach of these Terms and Conditions, in order to reach a swift, amicable resolution.
